A large pharmaceutical company wanted to support its working parents (and enhance its employee benefits package) by providing a subsidised Holiday Club service during the easter and summer vacation periods. The company contracted us to set up and manage the entire programme on their behalf.

The client had several offices in dispersed locations and was unable to accommodate a Holiday Club on any of these sites for security reasons. We therefore rented space in four local schools (in line with the company’s commitment to community engagement) and set up four separate Holiday Clubs so that parents could choose the one that was most convenient for their particular workplace.

We then recruited a team of people who could organise and run suitable activities for older age groups, managed all bookings, handled the finances and provided our client with management information data and reports to show them how the service was being used – all for a fixed annual management fee.

Since we have been managing the service, we have agreed the annual budget with the client each year after presenting them with the fixed and variable costs of the service. This enables them to decide and agree how much they are prepared to underwrite for the coming year.

Our achievements

Pre-opening

  • Identified and secured suitable safe and secure facilities
  • Registered with Ofsted 
  • Managed the storage and delivery of all equipment to the setting each holiday period 
  • Developed and integrated an online booking system to allow parents to book 24/7 
  • Recruited and fully trained a team 
  • Created a Holiday Club activities and events planner for each 
  • Provided promotional material to be shared via the client’s internal communication streams 
  • Ran roadshows to allow parents to meet the team and ask questions to reassure themselves that their children would be safe and happy in our care

Post Launch

  • We sent parents a feedback survey after their booking to invite instant feedback on the service
  • 90% of parents said they would use the holiday club again  
  • 100% of parents said the service was important in allowing them to fulfil work commitments 
  • We achieved a Net Promoter Score (NPS) of 88 
  • Our accident rate remained at <2% of the occupancy rate
  • All 4 sites were graded either “Good” or “Outstanding” by Ofsted 
  • We recorded a 230% increase in parent registrations over the course of the contract
