    We use Google Analytics (GA4) and Google signals to collect data about the traffic that our website receives to better understand where our traffic is coming from and how the website is being used. This allows us to ensure that we are providing a positive browsing experience for all our users. The information gathered and available to us is anonymised and never shared with third-party vendors.

    Information collected by Google may include end user location, search history, YouTube history and data from sites that partner with Google. The data that you choose to share with Google whilst logged in to your account can be accessed and/or deleted via this link: Manage My Activity.

  • We want you and your child to be happy and would ask that if you have a query, or concerns or cause for complaint of any nature, please speak to the setting manager in the first instance, as often matters can be worked through.  If however a matter is not resolved, please contact our Operations Director.

    We have an open-door policy and like to be clear, honest and transparent in our communication. 

    If a complaint is made, it is our procedure to record the complaint and notify you of any outcomes within 48 hours if possible. For complaints that need further investigation, we commit to responding within 28 days.  If at this stage you are still unhappy with the outcome, complaints may also be escalated to the  Regulatory Body for your area.

    Why we collect your data

    We want to give you the best possible experience with My Ohana and the data we hold about you helps us personalise our recommendations for products, services to best care for your business and the children we care for.

    How we collect your data

    We collect information in a few ways, including where you share information with us. This can be in the form of a completed website contact form, exchange of business information such as a business card and as part of a genuine opportunity. To care for children, we do hold sensitive data, including personal and health details.

    How we store your data

    All information you provide to us through the website is stored both within Squarespace’s secure private cloud in the US, and a secure UK Data Centre. Health forms and all other information about you is stored within another secure UK Data Centre.

    If you have opted-in for our newsletter, billing, parent communication app, your information is also stored within one of the childcare management software systems hosted by a third party.

    Our Newsletter, billing, parent communication app is provided by Connect Childcare and is hosted and stored within a secure UK Data Centre.

  • Background

    Under the UK Modern Slavery Act 2015, we are committed to publish an annual Slavery and Human Trafficking Statement setting out how we as a company have taken steps to ensure that modern slavery and human trafficking does not take place within our business or supply chains.

    We are a provider of crèches, nurseries, operating registered childcare settings across the UK and Republic of Ireland. We work with the full range of children's age groups from babies to teens and deliver all forms of childcare in a diverse marketplace.

    We are committed to delivering our values, acting with integrity, honesty and transparency at all times.

    Our Commitment

    We are committed to preventing slavery and human trafficking in all parts of our business. We have measures and controls in place to help identify risks and prevent slavery and human trafficking, both in our own business and in supply chains. Due the nature of our business and our measures and controls, we feel our overall risk to modern slavery is low.

    Everyone working for, on behalf, or in partnership with us, including suppliers of services and resources, must abide by our policy. We will only work with suppliers who have the same ethical approach and standards to ensure the same level of protection is given to employees of contractors, suppliers and third -party partners. The Company's due diligence process includes building long-standing relationships with suppliers and making clear our expectations of business partners and invoking sanctions against suppliers that fail to improve their performance in line with an action plan provided by us, including the termination of the business relationship.

    We do not and will not knowingly work with those who use child labour, forced labour, discrimination or harassment and requires all suppliers to prohibit slave labour and human trafficking.

    Our Colleagues

    Our colleagues are employed and supported where necessary by agency workers or contractors for the delivery of specialised skills.

    • We have a robust recruitment policy which includes right to work, identify checks, references and criminal record check. The same policy is applied to those entering our settings to deliver specialised services or agency worker, directly with children, whether employed by us or through an agency/sub-contractor.

    • Induction training and annual refreshers on reporting concerns and whistleblowing.

    • Our Code of Conduct sets down the actions and behaviour expected of colleagues

    Our Supply Chain

    Our supply chain includes suppliers for equipment, food, uniform, systems and other products; services for cleaning, facilities and specialised skills and recruitment agencies.

    • All supply chains must adhere to our statement.

    • Ensure that contracts and Service Level Agreement incorporate expectations round modern slavery.

    • Use recognised accredited suppliers where possible.

    • Issue our statement and have the ability to audit suppliers to ensure compliance.

    • Build long-standing relationships.

    This Modern Slavery and Human Trafficking Statement will be regularly reviewed and updated as necessary. The Board of Directors endorses this policy statement and is fully committed to its implementation.

  • To provide the very best care for your child, it’s a must that we work in partnership with you.  We like to get to know you and your child and we do this in a number of ways.  To find out what data we collect, why we collect it, and how we communicate with you to build the best outcome for your child, please click the settings you’re looking to attend.

    Nursery

    Initially we collect data about your family through our registration process, this is shared with your child’s keyworker so they are able to provide the best care possible for your child.  We use a parent app which enables us to share your child’s experiences as they happen throughout the day.  We will share daily toileting, eating and sleep routines, as well as observational content in either written and photographic form to enable you to get a snapshot of their day.  On a termly basis your Keyworker will invite you in for a 1:1 session to give you an update on your child’s progress and give you the opportunity to speak freely.  Of course, you’ll see your child’s Keyworker or someone from your child’s room on drop off and collection so feel free to speak us at any time, our door is always open to our parents.

    Creches

    Initially we collect data about your family through our registration process, this is shared with your onsite team to ensure we provide the best care possible for your child.  We share your child’s toileting, eating and sleep pattern on collection, as well as verbally give you an insight into their session; the children often leave with their hands full of beautiful creative pieces, especially for you.

    We run coffee and get to know you sessions throughout the year and these are advertised within the club.  Ask our team when the next one is and we look forward to meeting you.

    We may collect and process the following data about you:

    • Information that you provide by filling in forms on our web site www.myohana.co.uk. This includes information provided when completing an enquiry form, application form, booking a holiday club, subscribing to our newsletter, downloading material or requesting further services.

    • We may also collect via our website information about your computer and about your visits to and use of this website including; your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths; information that you post to our website for publication on the internet including your user name, your profile pictures and the content of your posts

    • If you contact us, we may keep a record of that correspondence together with your name, email address and phone number.

    • We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.

    • During our registration process we may need to collect personal and sensitive data in order to deliver care services. Without this data we will not be able to provide childcare.

    • We only collect data to deliver services relevant to you and retain it in line with our data retention register.

    What We Do With the Information We Collect

    We use information held about you in the following ways:

    • To ensure that content from our site is presented in the most effective manner for you and for your computer.

    • To provide you with information and services that you request from us or which we feel may interest you.

    • To carry out our obligations arising from any contracts entered between you and us.

    • To notify you about changes to our products or services.

    • To improve our products and services.

    We may also use your data to provide you with information about goods and services which may be of interest to you and we may contact you about these by email, post or telephone.

    We would not provide or sell your data to any third party, and we will only share your data in accordance with this Privacy Notice and in order to provide our childcare services to you.

    In rare cases, a legal obligation, we may be required to pass on details to a regulatory authority for safeguarding purposes.

    Where We Store Your Personal Data

    Once we have received your information, we will use strict procedures to prevent unauthorized access.

    All information you provide to us through the website is safely stored in the Squarespace private cloud in the US, as well as in UK secure data centre. Subsequent information, such as health forms, also runs in UK secure data centres. Our MS SharePoint system includes threat detection, phishing and social engineering mitigation.

    If you have signed up for our newsletter, billing, parent communication app, your information will be stored within a third-party childcare management software system.

    If you would like to be removed from our systems and service, please contact our central support team. Please note for some of our services we may not be able to continue providing you with childcare services without information being retained on one of our third-party management software systems.

    Our third-party management software systems are required to abide by UK Data Protection Laws and are trusted partners.

    We use multi factor authentication and encryption to prevent unpermitted access to all personal data files and restrictive time zones on all devices at our settings.

    We may also store manual copies of your personal information in a secure facility where access is restricted.

    Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, or third-party site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

    If you provide us with information via our website, you acknowledge that the transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

    How long we retain your data

    We only retain data for as long as necessary to fulfil the purposes we collected it for. Our data retention register details each piece of data we hold, the duration and the purpose for satisfying any legal, accounting, or reporting requirements. Our retention periods become active when you are no longer engaged in services with us.

    Your legal right

    As an individual you have rights and can determine how your data is used. Your GDPR rights are the right to:

    1. be informed - how we collect, store and process your data

    2. access – how its collected, processed, stored and what data exists and for what purpose

    3. correction – to have incorrect or incomplete data corrected

    4. erasure – to have personal data permanently deleted

    5. restriction of processing – block or suppress personal data being used or processed.

    7. object to processing – object to data being processed without explicit consent

    8. not be subject to automated decision making – demand human intervention as opposed to decisions made solely by algorithm

    As noted, you have the legal right to ask the right to erasure (right to be forgotten) and can do so at any time by contacting us, however please note if you do, we will no longer be able to provide services to you. If, however there is any safeguarding issues, or safeguarding allegations, we are legally obliged to keep your data indefinitely.
